Hubdoc, how do I love thee….

Hubdoc, how do I love thee, let me count the ways....  Yes, you have so many apps to choose from.   I am going to do a series of posts to show you how I use Hubdoc and why it is my favorite.  Recently, there have been a lot of posts on the private groups I am in on Facebook that say Hubdoc is expensive, is it worth it? Well my answer is a resounding YES!  

Hubdoc, I love you is easy to use

Once you have set up the account with them (ProAdvisors get a free one), just link it to your QuickBooks Online Account.  Now the fun begins. You can link your bank account and credit card accounts to the program.  Hubdoc fetches them for you.  Why is this good?  Well for my clients, I sign them up and set up the connections one time.  They link their accounts. No need to know their bank account user names/passwords.  I don't want to know! 


What?  I get check images too?

You will gain access to check images as well as the bank statements.  If you have a client that likes to write checks, you know that when they import the bank feed into QuickBooks, all you see is check 1234....uncategorized expense.   Not helpful at all!  Years ago this was a MAJOR pain point for me. I was constantly asking for bank statements, credit card statements, who did you write check 1234 to????? No more!  

You get an email when the statement is in Hubdoc

Yes, you get an email in the morning.  The statements are "fetched" and Hubdoc lets you know they are there and ready for use.  You don't have to remember what date to reconcile each statement.  You see the email in the morning.

Send your bills to Hubdoc

You are given a unique Hubdoc email.   Contact your client's vendors and have them email the bills directly to the client's unique Hubdoc email.  Why do this? No more CLUTTERING up my email account with my customer's bills.  They go directly to their individual Hubdoc account. 

Auto sync the bills to QuickBooks Online

The best part of this feature is automating their entry into QuickBooks.  What? Wait?  YES!  I don't have to manually enter these bills. Very much like does, they receive the bill and once you set up the parameters for that bill, they will auto sync it into QuickBooks.   Now, is it perfect?  Not yet.  But I see the future and it is becoming more perfect.  I think back to the days when I had to open the mail, separate the bills, enter them manually.  Well, no more!  I don't even see them come in.  They go to Hubdoc and voila!  They are in my QuickBooks file.  

Snail mailed bills/credits imported too

So you are probably thinking, "I still get my invoices mailed to me, how would they get into Hubdoc?"  It is hard to believe there are vendors in 2017 that snail mail their invoices.  But, alas, they still exist.  Emailing invoices means you barely pay for postage anymore. There are still those holdouts that snail mail the bills.  Just open your mail, scan the bills to pdf and either drag and drop them into your Hubdoc account or email them.  You can even scan a multi-page bill to Hubdoc.  I will demonstrate that in a future post.

Hubdoc, I love you because I now have a paperless office

Who does not want that?  Gone are the days of digging through file folders (and filing--YUK) looking for that slip of paper for a credit card receipt.  That when you find it, it is so faded....what does the amount say????   I have my contractors have their employees have the Hubdoc app on their cell phone.  They just connect to the app, touch the camera and take the photo.  If the picture looks good, upload it.  So simple! Within seconds the picture is there.   Oftentimes, the picture is there before the credit card company processes the transaction and it uploads to QuickBooks. 

Gone are the excuses....

No more, "I lost it in the truck" excuse or "I spilled coffee on it" excuse.  It is very easy to use.  Plus, if a client has a question about a bill "Lynda, why is the electric bill higher this month?"  They are no longer calling me or emailing me for this information. They look in Quickbooks, look at the link Hubdoc uploaded with the pic of the receipt or bill.

Other apps have tried to "swoon" me, but it would be hard to beat Hubdoc.   Sign up for a Hubdoc account here.  You won't be sorry you did. Try it free for a month.  Remember, ProAdvisor's get a free account, so try it with your own data file and banking first.   

They have some really good videos to learn the program too.  It is a pretty straight forward and simple to use and educate your client in how to connect it.   Bundling the cost of the monthly subscription for Hubdoc into my pricing is the way to go.  The customer does not pay for it directly, I do.  Believe me, it is worth the time savings to have all the statements and information at your fingertips.  Using this program provides me with the ability to lower the cost for my monthly services because I can stay on top of their records without bothering them for statements.   That is why this program pays for itself.
